Errors During Transfer and Updates

If properties are not being transferred, updated, or deleted, the causes can usually be traced back to one of the following categories. Work through the points in order.

Most Common Cause: FTP Credentials in Your CRM Software

In most cases the problem lies with the FTP credentials stored in your CRM software. They are wrong or outdated, for example because the website has moved to a different server or to a different server directory. So first check whether the server, username, password, and directory in your CRM software still match your current web hosting.

If your CRM software shows an error message during the transfer, incorrect credentials are almost always the cause. WP-ImmoMakler does not send any feedback to the CRM software, so the error message cannot come from WP-ImmoMakler. It occurs when the CRM software cannot connect to the server or cannot store the files. Correct the FTP credentials in your CRM software and start the transfer again.

Also check the transfer protocol: it must match what your web hosting offers, for example SFTP instead of FTP or the other way round. In some CRM software systems this setting is hidden; in onOffice, for instance, it is under “Show advanced settings”. More information: onOffice.

The CRM Software Reports Success, but the Properties Do Not Appear

If your CRM software reports a successful transfer but the properties are not imported, check in your website’s backend (wp-admin) under WP-ImmoMakler → Property Importer whether the transfer files have arrived. There you can also see the processing status of each file at any time.

If no new file is shown there, the files may be ending up in a directory your website no longer accesses. This typically happens after a move: the CRM software keeps transferring to the old server or the old server directory. Adjust the server and directory in your CRM software to match your current installation. More information: Moving the Plugin to a New Domain and OpenImmo Overview.

If the credentials and the directory are correct, work through the following points.

  1. Check automatic import and cron job

    In your website’s backend (wp-admin) under WP-ImmoMakler → Property Importer, check whether the checkbox Automatically import real estate data records in this directory is ticked. Without it, files that have arrived are not processed automatically.

    The automatic import starts when your website is visited. For it to run regularly even when nobody is visiting your website, set up a cron job. For more information: Cron Job for Automatic Import.

  2. Trigger import manually

    Start a manual import in your website’s backend (wp-admin) under WP-ImmoMakler → Property Importer with the button “Import der markierten Dateien jetzt manuell starten” (German label, not yet translated). The log output appears directly on the page; check it for error messages.

  3. Check files on the server

    If the import is carried out via FTP or OpenImmo upload, verify that the ZIP file has arrived correctly on the server and contains an XML file.

If a property has been changed in the estate agent software but the changes do not appear on the website:

  1. Check whether the import timestamp of the file is current.
  2. Clear your website cache — both the browser cache and the caching plugin cache.
  3. Check in your website’s backend (wp-admin) under WP-ImmoMakler → Property Importer whether the file was processed during the last import.

If changes appear with a delay, the import frequency of the cron job may be set too low. For more details: Cron Job for Automatic Import.

If properties remain on your website that are no longer active in your CRM software, you can delete them manually in the backend. For more information: Manually Deleting Properties.

WP-ImmoMakler records all import operations in a log file. There is no dedicated menu item for it in the backend: the file is located in the import directory on your server (by default /openimmo/ in the root directory of your WordPress installation), which is where the transfer files from your CRM software arrive. You can reach it via FTP or SFTP using the same credentials.

A separate file is created for each month, following the pattern immomakler-import-YYYY-MM-….log. It contains detailed information about processed files, imported properties, and any errors that occurred.
