Propstack WordPress Plugin: Import Properties Automatically

WP-ImmoMakler is the WordPress plugin for Propstack: it automatically transfers your properties from Propstack to your WordPress website via the OpenImmo interface.

Setting Up the OpenImmo Export in Propstack

Section titled “Setting Up the OpenImmo Export in Propstack”
  1. Create a portal

Navigate in Propstack to Administration > Portals > Add Portal > FTP: OpenImmo.

Enter a descriptive portal name, e.g. “Website” or “WP-ImmoMakler”. Enter any number as the provider number.

    1. Enter FTP credentials

Enter the FTP or SFTP credentials for your web server:

    • Host: Your FTP server name
    • Port: 21 for FTP or 22 for SFTP/SSH
    • Directory: /openimmo/ in the WordPress root directory. If WordPress is installed in a subdirectory, enter the full path from the FTP root, e.g. /clickandbuilds/app/wordpress_1/openimmo/. If your FTP user is already directly restricted to the /openimmo/ directory, leave the field empty.

  2. Store the API key

Create an API key in Propstack under Administration > Interfaces > API Keys and enter it in your website’s backend (wp-admin) under WP-ImmoMakler → Settings → Propstack.

The actual property data transfer continues to take place via the OpenImmo interface. The API key activates the following additional features:

    • Import of the property types used by Propstack
    • Import of special flooring types
    • Import of the year of construction of the building technology
    • Reduced image version (1920px “Full HD”) is loaded if processing of the original image failed
    • Optional: Always import reduced image versions (saves web space and traffic)
    • Selection field for individual geolocations (regions) in the Propstack search profile form PLUS

Automatically Assign Contact Enquiries PLUS

Section titled “Automatically Assign Contact Enquiries ”

If you use Propstack as your CRM, you can have incoming contact enquiries automatically assigned to a source. This feature is available from the PLUS licence onwards — if you are still on the BASIC licence, you can upgrade at any time at wp-immomakler.de.

Create a source in Propstack (e.g. “Homepage”) or adapt an existing one. Enter the sender address of the contact form there so that Propstack can correctly assign incoming enquiries.

Email appears in the Sent folder instead of the Inbox

Section titled “Email appears in the Sent folder instead of the Inbox”

If the email appears in the Sent folder, the sender address is identical to the recipient address configured in Propstack. Use a different sender address to avoid this issue.

Properties with certain statuses can be transferred as references. To do this, navigate in Propstack to Settings > Portals > Portal Settings > Reference transfer for certain property statuses.

Alternatively, set up a separate portal interface that exports reference properties to the /openimmo/referenzen/ directory. These properties are automatically marked as references by WP-ImmoMakler. The same approach applies to the directories /openimmo/reserviert/, /openimmo/neu/, /openimmo/preisreduziert/ and /openimmo/vermittelt/ for automatic status tagging.

Propstack Reference

From the PLUS license onwards, a search profile form is available that allows prospective buyers to save their search criteria directly on your website. Insert the form anywhere using the following shortcode:

[immomakler-propstack-suchprofil]

With Elementor, you can also embed the form without a shortcode: drag the Propstack search profile form element to the desired position.

You can configure which fields the search profile form asks for and which are required in your website’s backend (wp-admin) under WP-ImmoMakler → Settings → Propstack:

  • Propstack search profile: displayed fields — use the multicheck to select which fields appear in the form.
  • Propstack search profile: required fields — marks the fields that must be filled in before the form can be submitted.
  • Propstack search profile: recipient email — the address to which the completed form is sent (usually your general contact address, which also goes into Propstack).

You can automatically transmit links to the online listings of your properties to portals. These links can also be used in automated emails from Propstack.

Propstack - Automatically generated listing URL in the export

From the PLUS licence onwards, visitors to your website can sign up for your Propstack newsletter via a double opt-in process. WP-ImmoMakler submits the contact details to Propstack; Propstack sends the confirmation email and activates the newsletter consent.

Sign-up can be embedded in four ways:

  • Built-in contact form — optional newsletter checkbox below the existing checkboxes
  • Shortcode [immomakler-propstack-newsletter] — standalone sign-up form on any page
  • Page builders — elements/widgets for Gutenberg, Elementor, Divi 4, WPBakery, Bricks, and Oxygen
  • WPForms — integrate newsletter opt-in into existing forms or create a standalone newsletter form

Setup and all options: Propstack Newsletter Sign-Up

Run a full sync in Propstack to re-synchronise the entire property portfolio — e.g. after the initial setup or after a data loss.

If you want to present your properties in multiple languages on your website, you can create a separate portal connection in Propstack for each language.

The basic principle: create a separate portal interface in Propstack for each target language, configured identically to your existing connection — but with the respective language selected.

Propstack settings with two configured portals for German and English
  1. Starting point: You have already set up a portal for the German version of your website.

  2. Add a new portal: Navigate in Propstack to Administration > Portals > Add Portal and create an additional portal with the same FTP credentials.

  3. Select language: Choose the desired target language for the new portal, e.g. English.

  4. Assign properties: Transfer the desired properties to both portals. The respective language determines which texts are transferred.
